Aproove gives teams marketing reporting software with a permission-scoped reporting layer that runs on live workflow data. Pre-built reports cover system usage, team activity, task status, and project health, available on demand with no separate reporting tool to install. A dedicated Custom Reporting engine extends this to any field in the Aproove database, rendered through a separate web instance so reports run without affecting platform performance. All reports respect the user's permission scope: system, team, or project.

What it is
Aproove has two marketing reporting modes, both built into the platform.
Pre-built reports are packaged with Aproove, giving teams immediate visibility into workflow activity, project health, and production tracking software data. The administrator decides which users or groups can run each report, and each report is scoped at one of three levels: system (entire Enterprise environment), team (one team), or project (selected projects). Users run reports from the Aproove interface on demand, and each report pulls the latest data at runtime. Output is PDF or CSV.
Custom reports unlock when the Custom Report option is licensed. The Custom Reporting engine runs separately from the main Aproove application, on a dedicated web instance, and connects to the Aproove Postgres database through a set of specialized reporting views. This means custom reports can pull any data stored in Aproove, and complex report generation does not slow down the platform for everyday users.
Both modes share the same permission and scope model, so the same governance rules apply whether a user is running a pre-built System Usage report or a custom BI report tied to invoiced hours.
How it works
The six pre-built reports. Aproove ships with the operational reports most enterprise customers need on day one:
- System Usage: Users, teams, projects created, disk usage and quotas, assigned tasks, last login.
- Team Usage: Same data as System Usage, scoped to one team.
- Active Task: Outstanding tasks across the team's projects, with deadlines, assignees, adn production tracking visibility.
- Summary Project List: Key project metrics for one or many projects selected from the My Projects view (deadlines, duration, proof and task counts, status).
- Project Health: Color-coded breakdown of task and approval status across selected projects (late, at risk, on time, done).
- Aggregate Project Health: High-level chart summary of accumulated task and proof status data.
Custom report authoring. Custom reports are designed outside Aproove against the same set of specialized Postgres views the reporting engine uses at runtime. The administrator uploads the compiled report into Aproove and maps it to the appropriate database fields through the administration interface. A blank template is available as a starting point.
Scoped permissions. Each report (pre-built or custom) has its own permission set assigned to specific users or global groups. The administrator controls who can see and run which report at each scope level.
On-demand, live data. Reports are not pre-generated. Each report runs at the moment the user requests it and reflects the data as it exists at that moment. There is no batch window, scheduled refresh, or stale-cache problem.
Performance isolation. The Custom Reporting engine runs on a dedicated web instance, so a long-running custom report does not contend for resources with the main Aproove application.

- No separate reporting software for the end user. Reports run from the Aproove interface. No client install, no licensing seat for a separate BI product.

Under the hood
The pre-built reports execute within the main Aproove application against the live workflow data.
Custom reports use a separate reporting engine deployed on a dedicated web instance. The engine connects to the Aproove Postgres database using a specific reporting user that has access to a set of specialized views. These views shape the underlying schema into a form designed for report building. Customers design reports against these views outside Aproove, then upload the compiled report and map it through the administration interface.
