What it is

Large File Handling is what happens when Aproove's streaming architecture meets files that simply cannot be reviewed any other way. Files in the gigabytes. Files in the tens of thousands of pages. Files where a traditional download-and-open workflow would consume hours of waiting and gigabytes of disk space per reviewer.

Inside Aproove, those files behave like ordinary proofs. The Processing Agent ingests them once. The tiling engine generates the zoom-level tiles needed for streamed display. Reviewers open the file in their browser, navigate to the page or component they need, zoom to pixel-level detail, and start working. Multiple reviewers across multiple teams can do the same thing on the same file at the same time, without anyone waiting on anyone else.

The file size is not the limit. For teams managing a complex document management workflow, this means larger files don’t have to be split, downloaded, copied, or routed outside the system.

Why it matters

There is a class of work where file size is the defining operational constraint. Scientific documentation that runs to tens of thousands of pages. Direct mail campaigns where a single batch contains thousands of personalized variants. CAD drawings for industrial equipment that span gigabytes. Engineering submissions, regulatory dossiers, and large-format publications that exceed what most review tools can render at all.

These files create a familiar pattern of failure in most review platforms:

  • Files take many minutes (or hours) to upload and render.
  • Once rendered, they load slowly in viewers, with each page-flip or zoom requiring a fresh wait.
  • Multiple reviewers cannot work on them in parallel, because the file is too large to share copies of.
  • Search and navigation break down. A reviewer asked to find a specific disclosure on page 4,712 of a 7,000-page document cannot easily get there.
  • Specialist reviewers asked to focus on specific sections end up scrolling through everything else to get to their work.

Aproove was designed to make these operational realities go away. The streaming architecture removes the file-size constraint at the protocol level. The atomic file breakdown makes navigation and search work at any scale. The component-level permissions let multiple teams work on different sections of the same file in parallel. What was previously a multi-week, multi-tool, multi-meeting coordination problem becomes a normal review.

Customer reality at extreme scale

Two anchors for what "large" actually means in the Aproove context:

Los Alamos National Laboratory operates on documents up to 50,000 pages, with multiple specialist teams reviewing in parallel. Files of this size are not unusual in scientific and regulatory documentation, and they cannot be reviewed at all on platforms that lack streaming and component-level permissions. Aproove allows LANL teams to navigate, search, comment, and decide on these documents in the same browser interface they would use for a 30-page brochure.

RRD's secure direct mail operations run review on files that can exceed 7,000 pages per batch, where each page may carry personalized content and require its own approval against compliance and quality criteria. Concurrent reviewer access is the only viable model for clearing batches at this scale on production timelines. Aproove supports compliance software AI document analysis at every level.

What makes both of these workable is the combination of the streaming layer (which removes the file-size constraint), the atomic file breakdown (which makes per-component navigation possible), and the workflow engine (which routes the right pages to the right reviewers without making them scroll through everything else).

How large files behave in Aproove

A few specifics worth understanding:

Render once, stream forever. The Processing Agent renders the file at upload. Tiles are generated at multiple zoom levels and stored alongside the original. After that initial processing, the file does not need to be re-rendered for subsequent reviewers. Every reviewer streams the existing tiles.

Page navigation that does not load the whole file. Reviewers jump to any page (page 1, page 4,712, page 49,888) without needing to load the intervening pages. The Review Interface fetches the tiles for the target page on demand. Browsing a 50,000-page document feels the same as browsing a 50-page document.

Full-text search across the entire file. Aproove's text extraction runs on the full file at upload, including for files at extreme scale. A reviewer asked to find a specific phrase in a 50,000-page document searches and lands directly on the matches. The platform does not require the reviewer to read sequentially.

Section and component routing. Large files are usually not reviewed by a single team. They are partitioned, with sections routed to the specialists best equipped to handle each. Aproove's component-level permissions and workflow routing make this partition operational, not just notional. Each specialist sees the sections they own.

Compare across versions, even at extreme scale. Compare View runs on large files the same way it runs on small ones. A reviewer comparing version 14 of a 7,000-page direct mail batch against version 13 sees exactly the components that changed, in the same Side-by-Side, Overlay, Ghosted, or Pixel modes available on smaller proofs.

Performance does not degrade with concurrent users. Because tiles are pre-generated and shared across reviewers, multiple reviewers accessing the same large file does not multiply the rendering burden. Concurrent access scales on the streaming layer, not on per-user rendering.

Working together at extreme scale

A 50,000-page document is not reviewed by one person. It is reviewed by teams, often distributed teams, often across multiple specialties. Aproove makes the multi-team review pattern operational:

  • Multiple reviewers, same file, real time. Teams open the file together, work in parallel sections, see each other's annotations as they happen. The file is not partitioned into copies; it is partitioned into views.
  • Sections and components route to specialists. A regulatory section routes to regulatory. A technical section routes to engineering. A formatting section routes to production. Each specialist sees their work without wading through the rest.
  • Project Chat and Task Chat keep the conversation in context. Large file review involves a lot of conversation about specific components. Inline chat keeps those conversations attached to the work, not buried in email.
  • Audit trail captures the whole team's work. Every annotation, every decision, every chat message lands in the project record. Even at extreme file sizes, the audit trail does not degrade.

Under the hood

Large File Handling builds on the same Processing Agent, tiling engine, and streaming infrastructure described in the Performant File Streaming capability. At extreme file sizes, the architecture's properties become operationally critical: tiles are pre-generated once at upload (the rendering cost scales with file size, but it is paid once and amortized across all reviewers), streamed on demand based on viewport and zoom level (so reviewer device load is independent of file size), and cached at the storage layer (so concurrent reviewer access does not multiply rendering work). Text extraction runs across the full file at processing time, indexed for project-level full-text search regardless of page count. Component-level permissions and workflow routing operate at the same granularity for a 50,000-page file as for a 50-page file. Aproove's recommended rendering tiers run from 120 DPI for fast review to 768 DPI for high-quality print proofing, configurable per project type to balance render speed and zoom fidelity at scale. For deployment-sensitive customers, large file workloads run identically across Aproove-hosted Azure infrastructure, customer self-hosted, and on-premise installations.
